Four to Nineteen

How SalesEvolution built a predictable lead engine for a founder-led IT services company — without hiring an SDR team.

~70%Lower cost per qualified meeting
01 — Background

The founder's calendar became the ceiling

The client is a 60-person B2B IT services company. New business had always come from referrals and the founder picking up the phone — a model that worked while the company was small, then stopped scaling at exactly the moment it needed to.

02 — Challenge

A lead was anyone who answered the phone

There was no real ideal customer profile — a lead was anyone who answered the phone. Building a prospect list meant someone spending hours digging through LinkedIn. The one attempt at cold email was so generic it looked like spam, and was treated accordingly. Meanwhile the founder personally closed every deal, so sales could not grow faster than their calendar.

03 — Solution

Sharp targeting first, automation second

SalesEvolution started with a short consulting phase: an AI-assisted SWOT and Business Model Canvas analysis to pin down where the company actually wins customers — and where it burns time on the wrong targets. That sharpened ICP became the input for the two-stage lead research in BIZTAILORS: a broad AI-driven search against the profile, then data enrichment on the narrowed list, so the team only ever worked companies that genuinely fit.

From there, BIZTAILORS' email-extraction features produced verified contacts at the right companies, and the AI cold-email module did the rest — writing personalised templates, sending them, and running follow-up automatically. In parallel, SalesEvolution built the client a small custom web application: an interactive “IT maturity” assessment embedded in their own site, designed specifically to collect email addresses and route qualified signups into the pipeline. Everything — outbound and inbound alike — landed in the same CRM view, so nothing depended on the founder remembering who they had spoken to.

04 — Results

Predictable pipeline, unchanged headcount

  • Qualified sales conversations rose from roughly 4 a month to 19.
  • No SDR hire was needed — the founder and one junior colleague run the entire process.
  • The web tool produced 220 signups in its first quarter, of which roughly a third became real sales conversations.
  • Cost per qualified meeting fell by an estimated 70% compared with what building an SDR team would have cost.

“We thought we had to grow our way out of this. What we actually needed was sharper targeting and something to do the manual work — not more people.”

05 — Takeaways

What other teams can borrow from this

  • A sharply defined ICP has to come before automation, not after — AI pointed at the wrong target simply fails faster and more efficiently.
  • Outbound and inbound reinforce each other: a small self-service tool captures exactly the leads who have already half-convinced themselves.
  • Sales development capacity no longer necessarily requires a sales development team.
